Privacy & Data Protection Policy - May 2018

Under the new EU General Data Protections Regulations (EU GDPR) EU Regulation 2016/679, the New Milton Residents Association, (Association) are committed to protecting and respecting your privacy. For any “personal information” you provide for the purposes of your Association membership (including associate membership), the Association is the Data Controller and is responsible for collecting, storing and otherwise processing that data in a fair, lawful, secure and transparent way.

Lawful Basis:

Our lawful basis for collecting, holding and processing your personal information is described under the EU GDPR as “Legitimate Interest”; in that it we have previously provided services to membership under existing UK Data Protection Laws and that members would reasonably expect the association has an obligation to continue to provide the services you are registering for.

Under the Lawful Basis “Legitimate Interest”. The Association does not require members to provide their “Consent”, for the purpose of collection, holding or processing “personal information”.

The reason the Association need to collect, hold and process “personal information” is to be able to administer Association membership, (including associate membership) and provide the membership services you are signing up to when you register with the association, this includes:

 i.       Information required to maintain a data base of Association members (including associate members), to enable delivery of the Association’s monthly newsletter “Focus” and other local event information published by the Association: Name and Address + Phone contact + e-mail address; (The phone and e-mail contact is voluntary by all members);

 ii.      Preferred payment method of Association members (including associate members) for annual subscriptions and Association events, i.e. cash, cheque, standing orders;

 

How long will the Association hold your “personal information”?

We will hold your “personal information” on file for as long as you are a member with the Association and is reviewed on an annual basis for correctness. Any “personal information” we hold on any member will be securely destroyed if you cease to be an Association Member (including associate member).

Your ‘personal information” is not processed for any further purposes other than those detailed above.

The association does not supply any “personal information” it collects, holds or processes for the reasons shown above to any other third party, including for Direct Marketing; the Association’s processing of member’s “personal information” is not carried out by automated means and therefore “data portability” does not apply.

The Association does not store or transfer your “personal information” outside of the UK, including at present for the purpose of “Cloud Hosting”.

Your rights regarding your personal data:

As an Association member (including associate members), and “data subject” you have the right at any time to request access to, rectification or erasure of your “personal information”, to restrict or object to certain kinds of processing of your “personal information” and to complain to the UK’s data protection supervisory authority, the Information Commissioner’s Office about the processing of your personal data.

As an Association member (including associated members), and “data subject” you are not obliged to share your “personal information” with the Association, however if you choose not to share your “personal information” with us we may not be able to fulfil all the Association’s obligations to you; e.g. delivery of the monthly Focus magazine;
